League payments

So I recently discovered last night that the secretary/director of the summer league I bowl in has been refiguring all of our league's weekly payments, and instead of leaving the people who had paid ahead ahead, anybody that got behind on their team had that money applied to their balance.

Note: This is AFTER everything has been recorded. As in, it just recently was changed, 7 weeks in.

My team isn't suffering from this as I had kept track of who was behind and how much, which was just one person, but the other three teams are having hell figuring out who paid what and when now.

This was noticed as my team was left a notice that we had "Written in false payments," when it was the director who changed who made what payment, with quite a bit of eraser marks and then writing in pen scribbled over everything. Again, ours wasn't SO bad, but the other teams you couldn't tell what was written.

So I guess my question is, what would you do in this situation? I wrote a polite complaint and notification about the problem, and left it in our league due folder. The other teams aren't going to be so complacent next week, judging from how pissed they were when they were leaving.

I'm quite put off by this, as changing anything AFTER the fact payments are made invalidates anything in the records on the envelope.

Went through a situation with one of my leagues many years ago where the secretary kept making changes to how we were recording our payments on the weekly pay envelope.  I think that the main part of the record keeping on the pay envelope is the responsibility of the team captain or rep to record the names of the bowlers and the amount paid each week.  There is another smaller section for the secretary to keep a running total of the amount paid each week and for the season.

What was happening in our case was we would enter the total amount a bowler paid each week ($15 per week) so if someone paid in advance for two weeks, then we would enter $30 for that one week, then mark the date on the week he was pre-paying.  So to use today's date, enter $30 for 7/17 and then enter in the column for next week, 7/24, enter the date paid, 7/17.  That way we would know who paid for what week and how much.  The secretary was going in and erasing that date and putting in the $15 and changing the $30 to $15.  Sometimes if a bowler was absent the team captain would pay for that week so he would enter $30 for his payment, expecting to take the $15 out of the prize fund later but with the secretary changing it to $15 and putting in $15 for the absent bowler, we did not know who owed what. 

Finally had a talk with the secretary and told him that the main section of the envelope was the team captains' area and his was the smaller totals section where he could track how much the team was ahead or in arrears.  No problems after that.

First thing is to demand a full audit. Somebody is cooking the books and trying to cover something up from the sound of it.

I know they're not cooking the books, as everything is adding up right on our envelope, it's just that we wouldn't have known who owed what if I hadn't kept track of things. It's basically the exact same as what MI went through. I know there's going to be a talk next week, a couple guys have already said as much.

There are reasons that I either (1) pay the whole league upfront or (2) pay weekly, with a check. Been in too many leagues with questions, and one league with $30,000 stolen and then gambled away by the common law wife of the secretary of the league. I refuse to trust anyone else with my money when it comes to stuff like this...Get after them to fix it and get after them often. Make sure you and the league get what they deserve in service, fairness and treatment.
