Secretary/Treasure

When someone has this position are they required to be at league every week or can they appoint someone to collect money and gather scores?

This is based my situation.

Reason being.....I will usually miss 3 to 4 weeks out of the year due to my kids have weekend competition and I will miss bowling those nights.

My wife is the sec/tres and there's times she's sick. I pass out the sheets/envelopes/collect them. Another league I'm in if the sec/tres is not there the Pres is the target. No reason why not, as long as they are honest. No rule against any officer doing it on a temp basis that I read, anyway.

you can just appoint someone to do it. there not taking over the position, there just helping you out. been doing it 29 years now.

When I was secretary, there were weeks I couldn't make it and I used to drop off the standing sheets at the counter in advance, and ask someone on my team to distribute them before bowling.  When finished, I would have the same person collect them, and they would hand them into the counter.  That way, I could pick them up another day/night to enter the scores for the next week.

Treasurer is a little trickier because it requires collecting, counting and recording the money properly.  Because it has to be done while you're bowling, it is a distraction to whoever assumes that responsibility in your absence, so make sure you pick someone with decent organizational skills.

Another question. Should I get any kind of Software or should I just use an EXCEl spreadsheet.

The software systems out there seem pretty expensive. Especially if I am only going to do this for one league with maybe 10 teams (If we are lucky).

We had a 16 team league and I used Perfect Secretary for the scores/standings, and an Excel spreadsheet for the money.  It's been a while since I was secretary, and there may have been upgrades to allow you to track the money too.

I addition to the standings, averages, high game/series, etc., it also would print the application for honor scores shot during the week, including over average (game/series) and awards other than the standard 300, 299, 298, 800.  I never used it, but I think it also allows you to post your standings on-line.  The cost of the program was taken out of the prize money upfront, and in my opinion, is worth the investment.

Depends on how much you are getting paid for the job whether its worth getting the software.  Around here Sec./Tres. job pays between $1.00 - $1.50/wk/bowler.  Thats for your basica adult league.  senior leagues are less.  At that rate you are earning at least $1000/year (for winter).  Some of our secretarys are earning a few THOUSAND dollars a year tax free.  A computer program will make your life easier.  Espcially the special achievement awards which you are responsible for by USBC rules.  I recommend getting the software.  Because once you start being Sec/Tres, if you are competant, they will revote you in each season.

Here is the problem with the league. Nobody wanted the position. I was voted in a President 1st with the league. Then when it came to Secretary/Treasurer....NO ONE wanted it....so I said I would do it and some one else can be president.

I suggested before hand that we split the position up and have someone be Treasurer and someone be the Secretary. Make the burden across 2 people. Well NO ONE liked that idea.

It really seems like this position is the position NO ONE wants but everyone complains the most to (Which I don't understand....rules and league issues should go to the President). I would really like to split this position, but I don't think it is going to happen.

Somehow the leagued has morphed over the years to the Secretary/Treasurer does it all and the other officers sit back and do nothing. Well that is not going to happen with me in this position. When I talk to the New President this year....I  am not getting cooperation....I might consider walking.

I told him I wanted to talk to him after the meeting. He high tailed it out of there. If that's going to be the case. I don't want any part of the position (Is there any problem if I do that). That's not how a successful league is run in my eyes. (You need all parts)

I see this kind of thing at work all the time. There are several project managers in my department. We all do things a little different. Well I run my project expecting all team members to pull their weight. Everyone gets involved in completing the project all the time. My expectations are set. Well there are other Project Managers that prefer to do more of the complicated processes and when an employee says they are busy (so they say) or struggling with something the PM will do the employee's work. Well the PM is staying late, the employee goes home on time, and the PM complains they are getting no help. They can't realize they caused their own problem.

If you let people walk all over you they will continue to do it.

I talked with the Secretary/Treasurer after the meeting. She is nice person. She said she will help me get started. She did A LOT for our league. She kept it running and any issue (that really was the President's job to handle) she would bring up to the President he seemed to be bothered by it (That's not right).

She gave me a lot information and issues in the league. One was finding substitutes. There is no rule in our league that requires the Secretary/Treasurer to find people Substitutes. Well there are many who think that and would call her 6 hours before league stating they can't bowl that night and they need a SUB.

That is not going to happen with me. I have a Job and there will be times that I will be getting there just in time to bowl (I plan to have things ready the night before...I always plan ahead).

After talking with her I really have some concerns.

Programs...BLS. I can even use the program, remember my wife is sec/tres, but a few times she was out of town on emergencies so I did the money and postings. If I can do it, I'm sure you will be able to use it as well. It's not the cheapest but it's worth it.

Sounds like your league needs a good 'spanking' and make the team captains do thier jobs. Sec find subs ? What does a team captain do ? It's thier team ! I'd also make the Pres and VP do thier jobs. If no one wants the jobs or even try to do the jobs, then inform the league they'll have to close down. I bet you'll get support then.
